Post-show follow-up: the 72-hour window that decides your show's ROI

How to turn leads into deals with a structured 21-day follow-up sequence. Email templates, timing, and the 5 critical touch points.

Why 72 hours is the critical window

At B2B shows a visitor talks to 15-30 exhibitors over 1-2 days. Memory decay is rapid:

  • 0-24 hours: 100% recall of what was discussed.
  • 48 hours: 60% recall.
  • 72 hours: 30% recall.
  • 1 week: 15% recall.
  • 2 weeks: <5% recall.

If your first contact arrives 5 days after the show, the visitor probably doesn’t even remember the conversation. Lost opportunity.

Pre-show prep: set up before you arrive

Before the show, prepare:

1. CRM custom fields:

  • “Show source”: identifier for the show (e.g. “EuroShop 2026”)
  • “Lead tier”: A, B, C
  • “Specific interest”: text field for conversation notes
  • “Promised follow-up”: text field for what exactly you committed to
  • “Booth conversation date”: auto-filled

2. Email templates (4):

  • Day 1 thank-you (personalised hooks)
  • Day 3 value-add (case study, content)
  • Day 7 meeting booking
  • Day 14 last-touch before nurture

3. Calendar slots blocked:

  • Days 1-3 post-show: 60% of time for follow-up.
  • Days 4-7: 40%.
  • Days 8-14: 20%.

4. Team assignment: Each team member has a max of 30 leads to follow up. If you collect 200 leads, you need 7+ people committed.

Day 0 (last day of show): immediate processing

In the last hours of the show:

  • Sync the lead capture app to CRM.
  • Tier each lead (A/B/C) based on notes.
  • Set “next action” for each lead.

Day 1: personalised thank-you

Send a personal email to every A-tier lead. Subject: “Following up on our [show name] chat”.

We talked about [specific pain point]. The way we usually solve it for companies like yours is [brief approach in 2 sentences].

  • Promise delivery (whatever they asked for)
  • Specific next action with clear value proposition
  • Direct calendar link (no friction)

Day 3: value-add content

Send content that addresses the pain point you discussed. Not a generic newsletter. A specific case study, webinar invite, or product walkthrough video.

Subject: “[case study title] — thinking this might help with [their challenge]“

Day 7: meeting booking push

If they haven’t booked a meeting yet, a gentle nudge:

Hi [Name],

Quick follow-up — I sent over [case study] last week. Did it spark any thoughts?

If you’re still interested in exploring how this could work for [company], I have a few open slots this week:

  • [Specific time 1]
  • [Specific time 2]
  • [Specific time 3]

If timing isn’t right, no worries — happy to reconnect in [appropriate timeframe].

Day 14: last touch before nurture

If they haven’t responded:

Hi [Name],

Wanted to do one final follow-up from our [show] conversation. If now’s not the right time, totally understand — I’ll add you to our newsletter so you can stay in touch passively.

If anything changes and you’d like to explore further, just reply to this email.

Day 21+: long-term nurture

Move the lead to a general nurture sequence:

  • Monthly newsletter with relevant insights.
  • Quarterly industry-report drops.
  • Re-engage at 3 months with a personalised message.

B-tier and C-tier follow-up

B-tier leads: Same sequence but with a 2-day delay at each step (Day 3 thank-you, Day 5 content, Day 10 meeting, Day 17 last touch).

C-tier leads: Skip personal follow-up. Add directly to nurture sequence + a LinkedIn connection request.

Common follow-up mistakes

Mistake 1: Generic mass email. “Thanks for visiting our booth!” to 200 people. Conversion rate <2%.

Mistake 2: Pushy first email. Asking for a sale on Day 1 without context. Visitors block.

Mistake 3: No specificity. An email that could have been sent to anyone. Visitors delete.

Mistake 4: Inconsistent cadence. Email Day 1, nothing for 3 weeks, then random email Day 23. Confusing.

Mistake 5: No CRM tracking. Forgetting what was mentioned, what promises were made, what the next step is.

For each show track:

  • Total leads captured: baseline.
  • Tier A response rate: target >50% over 14 days.
  • Demo booking rate: target >30% A-tier.
  • Pipeline opportunities: number that became qualified opportunities.
  • Closed-won deals: 90-day window and 12-month window.

How much time does it take to follow up on all leads? For 100 leads: 15-20 hours of team work spread over 2-3 weeks. Personal touch on Day 1, more templated in later touches.

Are marketing automation tools reliable for post-show? Yes — HubSpot, Marketo, ActiveCampaign all do good work. But don’t automate the Day 1 personal email. That has to be manual.
