Exhibition booth setup day: hour-by-hour what to expect

From arrival at the venue to a fully stood-up booth — a complete setup timeline. How to avoid common delays and stress.

Vassiliki Giannopoulou Vassiliki Giannopoulou Account Director, GROW Agency

The short answer: setting up a 20 m² booth takes 8-12 hours across 1-2 days. At international shows, the setup window is 3-5 days. Critical: arrive 8+ hours before opening, test all systems in advance, and have backup for 3 specific items that often fail. Below is the complete hour-by-hour playbook.

Setup window — what to expect from the venue

Different venues have different setup windows:

Small Greek shows (TIF, Athens Metropolitan): 1-2 days before opening. Booth contractors limited to 8 hours/day.

Major European shows (Hannover Messe, EuroShop): 3-5 days before. 24/7 access in some cases.

International mega-shows (Bauma): 7-10 days before. Necessary for massive booths with complex construction.

Critical: book setup slots in advance. Specific times reserved for delivery, electrical inspection, fire safety check.

Pre-arrival checklist (1 week before)

Before the truck leaves the workshop:

  • All components labelled clearly
  • Inventory checklist printed (3 copies)
  • Tech drawings printed (assembly reference)
  • Tool kit packed (screwdrivers, drill, level, tape measure)
  • Spare parts (screws, brackets, common breakage items)
  • Cleaning supplies (post-build cleanup)
  • Lighting tested in the workshop
  • Graphics applied to test panels (verify orientation, alignment)
  • Floor protector materials (carpet cover, edge protectors)
  • Contact list (venue contacts, builder team, electrician)
  • Permits and certificates (fire safety, structural, electrical)

Day -2: Arrival and logistics

Morning (7-10 AM):

  • Truck arrives at venue loading dock
  • Check-in with venue logistics team
  • Wait for unloading slot (queues common during peak setup periods)

Mid-morning (10 AM - 12 PM):

  • Unload components in designated holding area
  • Move parts to booth location (sometimes 100+ metres across hall)
  • Visual inspection of all parts for damage

Afternoon (1-5 PM):

  • Floor preparation (carpet/vinyl laid first)
  • Structural framework assembly
  • Power feed connection check (electrician on-site)

Evening (5-7 PM):

  • Day end review
  • Anything needing overnight rest (e.g., painted panels)
  • Tomorrow’s plan finalised

Common setup problems and solutions

Problem 1: Damaged components from shipping Solution: inspect upon arrival. Have spare parts. The workshop can rush-ship replacements 2-3 hours away.

Problem 2: Power not where expected Solution: bring extension cables. Confirm power locations 1 week prior with venue.

Problem 3: Graphics misaligned Solution: take down + reapply. Allow 2 extra hours for graphics rework.

Problem 4: Lighting not working Solution: always test the entire system before show day. Bring spare LED modules.

Problem 5: Wi-Fi unreliable Solution: mobile hotspot backup. Don’t rely on venue Wi-Fi.

Problem 6: Furniture damaged Solution: visit local supplier for quick replacement. Have list of nearby suppliers.

Problem 7: Other booth contractor blocking access Solution: negotiate professionally. Most are reasonable.

Problem 8: Fire safety inspector demands changes Solution: always have certifications ready. Comply quickly, document changes.

Setup team composition

Ideal team for 20 m² booth setup:

  • 1 Project manager / coordinator
  • 2 Carpenters / assemblers
  • 1 Electrician
  • 1 Graphics installer
  • 1 General helper

Total: 6 people for 1 day of intense work, or 4 people for 2 days.

Larger booths need proportionally more people.

What you (the client) should do

While the team builds, the client should:

Before show day:

  • Day -2: Visit booth at lunch and evening for approval
  • Day -1: Sign off on completion
  • Day 0: Arrive 1 hour earlier than necessary

Don’t:

  • Help with manual labour (insurance issue)
  • Make last-minute changes to structure (rushed work fails)
  • Bring extra demo materials to install at the last hour

Frequently asked questions

Is a 1-day setup possible for a 20 m² booth? Yes, but tight. Safer at 1.5-2 days.

Is the client’s presence at setup necessary? Not 100%, but recommended. Quick decisions needed, and client sign-off necessary at the end.

Is the venue’s electrical service reliable? Generally yes at major venues. Sometimes overworked. Plan for delays.

How early should I arrive for an international show? 3-5 days before opening ideally. Adjust for logistics complexity.

Are booth components safe overnight at the venue? Yes at major venues (security guards). Always lock cabinets. Don’t leave laptops/equipment overnight.

How much does overnight security cost? Major venues include it in floor space rental. At smaller venues, extra €100-300/night.

Can I change the layout during setup? Minor adjustments yes (3-4 m² of furniture). Major changes (walls) no.

How do I handle a booth that refuses to assemble? Workshop contact recuts dimensions in the shop, sends updated parts overnight. Add €500-1,500 for rush rework.

Is fire inspection mandatory before opening? At major venues, yes — they inspect 100% of booths. Have certifications ready.

Can disassembly + reassembly happen during the same show? Not directly. Some venues allow you to stop operations and resume, but physical changes to booth structure during the show aren’t allowed.
